A sixty-person consultancy moving from Ruoholahti to Kalasatama does not fail because of cardboard boxes. It fails because the server cabinet was booked for disconnection at 16:00 on Friday and the first client meeting in the new boardroom for 09:00 on Monday. An office relocation is measured by one number: how many productive hours were lost. That number is settled by a timeline, not by effort in the final week.
Three to six months out: contracts and space planning
The first task has nothing to do with the move. It concerns the lease. Commercial notice periods in the capital region typically run from three to twelve months, and leaving a fixed-term agreement early can mean paying out the remaining rent. Read the reinstatement clause too: many leases oblige the tenant to return the premises to their original condition, and removing partitions, repainting and replacing floors easily produces a five-figure item nobody budgeted for.
Space planning runs in parallel. Activity-based offices are now commonly designed around eight to twelve square metres per employee, well below the figure used for cellular offices. Count quiet rooms, phone booths and meeting rooms separately, because in hybrid work the shortage is rarely desks. It is also where you decide what furniture travels: dismantling, moving and reassembling a ten-year-old desk often costs more than the desk is worth.
Start the supplier shortlist here too, because contractors specialising in corporate relocations fill their weekend calendars months ahead, particularly in May and June and around the turn of the year. One note for anyone procuring in English: Finnish providers organise their sites by service area and title each city page in Finnish, so the Helsinki page of a given firm is the one labelled Muuttopalvelu Helsinki rather than a generic price list. Comparing those city pages keeps the shortlist to operators who genuinely work in your area. Ask three to quote and require a site visit from each: a price given remotely is a guess, not an offer.
Four to eight weeks out: IT audit and ownership
The critical path runs through IT almost every time. Operator connections can take weeks to deliver and building fibre into a property can take months, so audit the new address early. Cabling, the patch cabinet, access-point placement and meeting-room displays belong in a sub-project with a named owner and its own schedule. Check power outlets too: open-plan layouts end up with more desks than the drawing showed, and retrofitted electrical work is expensive.
Physical server relocation is specialist work. Equipment still on your own premises needs verified backups, a controlled shutdown, shock-absorbed transport and a tested start-up sequence. Many organisations use the move as the moment to shift into a colocation facility or the cloud, which takes a whole risk category out of the load. Agree the fallback: if the network is down on Monday, where do people work and who tells them.
Make ownership visible. The model that works is one move lead per team, each with a task list and authority to decide for their unit. Record at least the following:
- a room-by-room furniture list: what moves, what is recycled, what is bought new
- a numbering and colour-coding system matching the floor plan of the new space
- handover of keys, access cards and alarm codes, plus removal of access rights
- an archive review covering retention periods, digitisation and secure destruction
- responsibility for personal belongings, one box per employee
Archives should never move as they stand. Work through the paper by retention period and put the remainder into locked secure-destruction containers, where it is shredded against a certificate. Pricing follows container size and collection frequency, and costs a fraction of moving and storing redundant material. The same applies to retired computers and drives: ask for the destruction certificate in writing. A ten-year-old office often sheds a third of its volume here.
Two weeks out: addresses and communication
Address changes are mechanical work, but there is a great deal of it: the trade register, the tax administration, insurers, the bank, your accountant, the telecoms operator, the electricity contract, the cleaning company and postal forwarding. Website details, email signatures, invoice templates and map listings go in the same pass, in one table with an owner and a date on every row. A ready-made toimistomuuton muistilista is a reasonable starting point to adapt.
Client communication should happen once and clearly: new address, moving date, and any expected break in phone service. Internal communication runs more often — floor plan with desk numbers, access instructions, parking, and where each person’s box will be waiting. In central Helsinki, confirm street-area permits and reserve a loading bay in advance; in a tight block a lorry cannot simply be parked on the day.
The moving weekend
Timing determines the length of the outage. In practice every well-run office relocation runs from Friday evening to Sunday, or on weekday evenings after 17:00, because most office properties allow heavy removal work only outside business hours. Lift reservations are made separately at both buildings. A realistic rhythm for a mid-sized office: Friday for stripping desks and packing IT, Saturday for furniture and archives, Sunday for reconnection and testing.
Understand the cost logic before comparing quotations. Corporate moves are typically priced by headcount and by the square metres being relocated, not by hours alone. As a rule of thumb, expect a few hundred euros per workstation once packing materials, dismantling and reassembly, transport and placement are included. Surcharges cover evening and weekend work, floors without a lift, long carrying distances, safes and heavy equipment, and interim storage. Ask every supplier to quote against the same breakdown.
Finish the handover of the old premises the same weekend. Arrange a joint inspection with the landlord or the isännöitsijä, the property manager, and record the condition of the space and any repair liabilities. Move-out cleaning is ordered separately, priced by square metres and condition. Keys, access cards and alarm codes are handed over against signature, and departing users are closed out of the systems that day.
The first working day
Resource the first morning like a production day: IT support present, move leads present, and somebody who can open the doors. Make workstation adjustments immediately rather than a month later, because screen height, chair settings, lighting and cable routing feed straight into how many back and neck complaints reach occupational health during the spring. The requirements for workstation dimensions and working conditions are published by the occupational safety authority at tyosuojelu.fi, and are worth reading before the furniture specification is locked.
Add a short induction the same morning: escape routes, the alarm system, meeting-room booking, and how the shared layout is meant to work. If people are moving from assigned desks to shared ones, agree the ground rules.
Finally, keep a snag list open for the first week that anyone can add to: a missing cable, a box in the wrong room, a display that will not wake up. Reviewed daily, those items clear within the week. A well-managed office relocation is invisible to the client, and that is the only honest measure of success.
